How do I connect Practice Fusion with my registry in order to meet Medicaid's Meaningful Use requirements?
1. To begin the onboarding process for your practice, register with the West Virginia DHHR/Bureau for Public Health
You will need to complete online registration on the West Virginia DHHR/Bureau for Public Health (WVDHHR Portal).
After successfully registering your intent to submit data for Meaningful Use Modified Stage 2, you should shortly receive an email response.
Clicking on the instructions link from the email will take you to a document listing several transport options: Web Services, VPN, and Secure File Transport. Respond asking to use Web Services and for the credentials to use that option. That will allow for automation of onboarding.
West Virginia should provide you with the following credentials to use the web services: Username, Password, and Facility ID
Note: if you are a Medicare clinician participating in the Merit-based Incentive Payment System (MIPS), additional guidance for new registrations has not yet been provided. If you have already completed WVSIIS registration previously, your active engagement will continue. If you are a new registrant, please contact WVSIIS directly for information.
2. Complete the Immunization registration in Practice Fusion.
Ensure that the following information has been accurately entered into the EHR in the applicable areas: Provider name, Primary facility address, and NPI. Note: For instructions on editing your EHR Settings, click here.
Navigate to Settings --> Vaccines and immunizations--> Immunization registry.
Under Step 2: Connect, select Connect an EHR facility to your state registry.
Select the facility name with which you are registering.
Select "West Virginia - West Virginia Statewide Immunization Information System" the Receiving Registry drop-down list.
Enter your facility, facilityname, userid, and password. WVSIIS provides your facility, userid, and password. The facility name is the name of the facility sending immunizations. You can use the same values for testing and production. Select the “i” icon for additional information about each credential.
Click Register to begin the testing and validation process.
3. Testing and validation process
Practice Fusion will start sending test immunization files to WVSIIS along with the following information from your EHR account: provider name, primary facility address, NPI, and information you entered on the Immunization settings page.
If information was entered incorrectly on the Settings page or if there were any errors with the file, you should be notified by WVSIIS with an explanation of the issue.
If you need to update the information entered in the Immunization settings page, delete the existing electronic transmission registration, correct the information, and resubmit the registration to re-start the testing and validation process with the updated information.
4. Activate your immunization integration in the Immunization Settings page
Once you have been notified by WVSIIS or Practice Fusion that you can proceed to submit production (real patient) data, visit Settings-->Immunization registry and activate your integration.
5. Submit immunization records directly to WVSIIS
Once activated, you will be able to electronically submit immunization files to your registry for each patient.
Go to the Immunizations section of the chart and click Transmit all. Alternatively, click the Actions button and select Transmit to state registry.
This is how you transmit immunizations on a patient by patient basis moving forward.
