How do I change appointment status in the scheduler?

Changing an appointment status

Within the Appointments tab, you will see any existing appointments for the day listed in a Pending state and tentative appointments in a Tentative state. If you are unable to locate specific appointments, please see: Why are my appointments missing?


When changing the status from Pending to Arrived, additional options will become available in the drop-down menu:

  • In Lobby

  • In Room

  • Seen

If you navigate from Pending directly to No Show or Cancelled, the In Room and In Lobby options will not be available. Note: when No Show or Cancelled is selected, an encounter note will be generated automatically. Any account administrator can disable this feature off by clicking into the Schedule “Settings” tab and selecting the “Do not create encounters for patient no-shows and cancellations (affects all providers)” radio button at the top of the page.

If necessary, you can adjust the status back to Pending to check the patient in again.

Viewing Completed Appointments

Under the Appointment status drop-down menu along the left-hand side of the schedule, check or uncheck the boxes to show each specific status. This filter is available on the Appointments, Day and Week tabs.  

 

Note:  if you do not see see the display filters, they could be hidden. This is a setting per user and per tab. Learn more here.

Within the Day and Week tabs, an appointment's status is denoted with the following icons:

  • Pending- PN

  • Seen- ZZ

  • Cancelled- CX

  • No Show- NS  

  • Tentative- TN

  • In Room- RM

  • In Lobby- LB
