How do I sync my Practice Fusion and AdvancedMD payer lists?

Once you have integrated your Practice Fusion and AdvancedMD accounts, you will first need to:  

  • Sync your payer lists

  • Sync patient demographic and insurance information


AdvancedMD Carrier (Payer) Matching

To synchronize your payers, please ensure that the payers within Practice Fusion exactly match the payers (carriers) within your AdavancedMD account by Payer (Carrier) Address and Payer (Carrier) Name.


In AdvancedMD PM there is only one field, Carrier Name, which is made up of the Practice Fusion Payer name plus the Plan name, separated by a space.


Example of a correctly set up Carrier:


Practice Fusion: Payer = AARP Plan = Medicare Complete

Advanced MD PM: Carrier Name = AARP Medicare Complete


Editing payer details Practice Fusion

You may edit payer details directly within a patient's chart under the Insurance section of the Profile tab. Click on the payer name to open the insurance details.



Click Edit payer and plan details to open payer information.


A window will open to edit the payer information, including the payer address.


Please note that the payer/plan names can’t be edited within Practice Fusion. If the payer or plan name needs to be updated in Practice Fusion to match the Carrier in AdvancedMD, you will need to re-add the insurance with the correct payer/plan.

Carrier Names in AdvancedMD PM are limited to 32 characters or less, including spaces. If two Payer + Plan combinations in Practice Fusion are named similarly, only the first 32 characters will determine matching.


In AdvancedMD PM Master Files | Carrier, create a Carrier Name that matches the Payer + Plan combination from Practice Fusion. Be sure to include a space between the Payer name and Plan name.


Once the carrier is set up correctly in AdvancedMD, add the associated payer to the patient chart in Practice Fusion.


To make the carrier name match the Payer + Plan name you will need to adjust the Payer + Plan name in Practice Fusion to match the Carrier Name in your AdvancedMD PM.



Syncing patient demographic and insurance information

To ensure that superbills are sent successfully from Practice Fusion to AdvancedMD, you must also check that you have entered patient demographic and insurance information following the guidelines below.


Syncing patient demographic information

In order to submit a superbill, the patient must first be entered in both Practice Fusion and AdvancedMD.


If the first, middle, and last name, and DOB entered for a patient in Practice Fusion don’t match a single patient within AdvancedMD, AdvancedMD will try to locate the patient by address, social security number, and patient record number. If the patient still can’t be located, you’ll be taken to AdvancedMD’s Resolution Center to search for an appropriate patient or create a brand new patient.


Syncing patient insurance

You may successfully submit superbills to AdvancedMD without patient insurance entered in Practice Fusion. For detailed instructions on adding patient insurance, please see: How do I add Insurance/Payers?


However, you may encounter errors if the insurance entered for a patient in Practice Fusion doesn’t match the insurance entered in AdvancedMD. AdvancedMD will try to match patient insurance by subscriber ID, group number, effective start date, responsible party, and carrier. If they are unable to match the patient’s insurance, you may receive an error when sending a superbill.


Syncing information displayed on the superbill

Any information entered in the Notes or Amount paid fields will not transfer to AdvancedMD. You will need to manually enter this information in AdvancedMD.
