How do I sync my Practice Fusion and CollaborateMD payer lists?

Once you have integrated your Practice Fusion and CollaborateMD accounts, you will first need to:  

  • Sync your payer lists

  • Sync patient demographic and insurance information


Syncing your payer lists

To synchronize your payers, please ensure that the payers within Practice Fusion match exactly with the payers within your CollaborateMD account by Payer Address and Payer Name.


Follow the instructions below to run the Payer Listing Report:


1. Go to the Report section.

2. Under Central Business Intelligence > Report Viewer, expand the Misc Reports folder.

3. Double click on the Payer Listing report.

4. Once the results are displayed, there are two options for populate this information into Practice Fusion:

  • Print the report and manually enter the payer information into Practice Fusion.

              

  • Cross reference the report displayed on your screen while you have Practice Fusion open and either copy and paste the Payer information or type the information into the necessary fields.

Manually enter the payer information to your Payer List via Practice Fusion. For more information on how to add payers within Practice Fusion, please reference How do I add Insurance/Payers? guide or watch the Adding Payers and Patient Insurance video.


Once you have updated all payers to your satisfaction, save your changes within Practice Fusion.


Please Note: If you have any Self Pay patients, you will need to ensure you add a Self Pay payer within CollaborateMD and Practice Fusion in order for the superbill to send successfully. Superbills with no insurance added will encounter an error once the superbill is submitted.


Syncing patient demographic and insurance information

To ensure that superbills are sent successfully from Practice Fusion to Collaborate, you must also check that you have entered patient demographic and insurance information following the guidelines below.


Syncing patient demographic information

When submitting a superbill, if CollaborateMD is not able to match to an existing patient, a new patient will be created with all of the information received from Practice Fusion.


Syncing patient insurance

Insurance information must be entered within the patient’s chart in Practice Fusion in order to submit a superbill.


When submitting a superbill, CollaborateMD will try to match the patient’s insurance by payer address. If the address entered for an insurance in Practice Fusion doesn’t match the address  entered in CollaborateMD, the system will try to match by payer name. If the payer names do not match in both systems, you will encounter errors when submitting a superbill.


Syncing information displayed on the superbill

Any information entered in the Notes or Amount paid fields will not transfer to CollaborateMD. You will need to manually enter this information in CollaborateMD.
