How do I schedule recurring appointments?

Recurring appointments can be set to occur daily, weekly, monthly, and more. Specific appointments can also be edited and modified for last-minute changes without changing the entire series.

To create or edit a recurring appointment, select the Schedule section and navigate  to the Week or Day tab.

Create a recurring appointment (Weekly)

1. Click the preferred time slot and select your Patient, Provider and Appointment type.

Please note: If you wish to specify which providers appear in the dropdown list, an account administrator can update this by going to the Schedule “Settings” tab and scrolling to the provider “Color Coding” section. In the “Available for Scheduling” column, each provider can be switched to “On” or “Off”. If a provider’s toggle is set to “Off” that provider will be removed from the “Provider” dropdown list.

2. Click the Repeat check-box and select the Weekly button. If the Weekly button doesn’t immediately appear, please scroll down within the appointment window.


3. Select which days of the week you would like the appointment to recur
(e.g. recur every week on Tuesdays and Thursdays at 2:00pm).

4. Select how many weeks you would like the appointments to recur for within the Every…Week(s) field (e.g. recur every week or every 3 weeks).


5. To select your end date, you may either:
  • Enter the end date in the Ends On field

  • Enter the total number of appointments, which will automatically adjust the Ends On date

Create a recurring appointment (Daily)

Note: This feature currently includes weekend days

1. Click the preferred time slot and select your patient and appointment type.

2. Click the Repeat check-box and select the Daily button. If the Daily button doesn’t immediately appear, please scroll down within the appointment window.


3. Complete the Every … day(s) field to select how often the appointment should occur (e.g. repeat every 3 days).

4. To select your end date, you may either:

  • Enter the end date in the Ends On field

  • Enter the total number of appointments, which will automatically adjust the Ends On date

Editing a recurring appointment or series

1. On the Week or Day tab, select the appointment you would like to edit.

Note: As you hover over the appointment with your mouse, you will see an icon next to the time indicating that it is a recurring appointment


2. Adjust the time (e.g. 5:30-6:00 pm), duration, or type.

3. Click Save.

4. Choose to either Save for series or This occurrence only. If you select This occurrence only, only this particular appointment will change. All other appointments within the series will remain the same.

Deleting a recurring appointment or series  

1. On the Week or Day tab, select the appointment you would like to edit.
Note: As you hover over the appointment with your mouse, you will see an icon next to the time indicating that it is a recurring appointment

2. Click the Delete button.

3. Choose either Delete series or This occurrence only. If you select This occurrence only, only this particular appointment will be deleted. All other appointments within the series will remain.

4. Click either Cancel or Proceed to confirm that you would like to delete your appointment or series.

Please note that when you delete a series, if you have previously updated or changed a single occurrence within the series, that single appointment will not be deleted. It will need to be deleted manually.

Viewing patient appointments

To see a list of past and upcoming appointments in the patient's chart, navigate to their chart and select the Timeline tab. Then, adjust the drop-down filter to Appointments. Each appointment within the recurring series will have its own entry. You can also view a limited list of upcoming and past appointments in the patient’s Summary.
