How can I track copays in the schedule?

You now have the ability to seamlessly track copays in your Practice Fusion account.  Under the Appointments tab of the Schedule, there is now a Copay column

Where do the copay amounts come from?

The copay amounts come from the primary insurance information entered in the patient’s Profile tab.  

To add/edit this information, click on the payer's name in the Insurance section. This will display a panel on the right with the insurance information. Scroll down and you will see a section for Copay type and Copay amount.

If a value is not entered in the copay section of the primary insurance, the notification "No copay info" will display on the Appointments tab in the copay column. Once you select the Copay type and enter in the Copay amount, click Save.

How can I indicate the Copay was paid?

1.   In the Schedule section, in the Appointments tab, under the Copay column you will see the amount due. This is pulled from the patient’s insurance section.

2.    Click on the amount due to change the status of the Copay.

3.   A Copay collection box will display. Choose the payment method and enter in the appropriate details. The Notes section can be used for any necessary notes about the payment.

4 .    When all the items have been entered, click Save or Save and print receipt.

  • Clicking Save will close the box, allowing you to continue working in the schedule.

  • Clicking Save and print receipt will open a print preview of the receipt. If you do not see a print preview pop up, please ensure that your Pop-Up Blockers are turned off.

5. After the appropriate copay amount has been entered and you click Save, you will see the change reflected in the Copay column as Paid with a green check mark next to it.

If at any time you need to change the payment information, click on the payment amount (i.e.: $10.00 Cash). This will display the payment details to edit. Once completed, click Save.

Please note: if you record a copay payment amount in the schedule for a patient who is marked as Self Pay and/or does not have a copay amount entered in their insurance details, the copay recorded in the schedule will be saved as their copay due for all future appointments and cannot be deleted. 

Can I see a list of all the payments for the day?

You can see a complete list of your copays by going to the Copay view in the view drop down at the top of the Appointment page.

This will display all of the copayments for the day selected. This can be printed by clicking Print at the top right-hand corner of the page.


Q: Do copays added on the schedule flow over to the superbill?

A: Yes, when you update the copay in the schedule, the copay will automatically be documented in the superbill created for that specific encounter.
